Standard Naming Convention for Drawings & Documents

To ensure consistency and efficiency in the ePlan Review process, all files uploaded to ProjectDox must follow strict naming and formatting standards. Improperly named files may be rejected during Prescreen. Below are some important guidelines. 

  • Each drawing page must be uploaded as a separate file. (i.e. If there at 20 pages that makes up your MEP drawings, each page should be named and uploaded individually).  
  • Other documents must be uploaded as separate files, but can be multiple pages per file.

NOTE: YOUR MUST LEAVE A BLANK SPACE FOR A CITY "BATCH" STAMP.  

For drawings and plans to be approved, the City of Miami adds a seal (or stamp) to the upper-right corner of each page within the plan. (This does not refer to text documents such as LOI, applications, notification letters, etc.). Please ensure that you leave the upper-right corner blank (empty), per the below sizes:

  • 8.5 x 11 plan requires a 2x2 blank (empty) area
  • 11 x 17 plan requires a 3x3 blank (empty) area
  • 24 x 36 plan requires a 4.5 x 4.5 (empty) area
  • 30x42 plan requires a 4.5x4.5 (empty) area.
  • 36x48 plan requires a 4.5 x4.5 (empty) area

General Requirements (Applies to All Files)

These requirements apply to both DOCUMENTS & DRAWINGS. 

  • Format: PDF only
  • Security: No encryption or password protection
  • File Size: Maximum 1 GB per file
  • Naming:
    • All uppercase letters
    • Dashes allowed (e.g., BLD-01.pdf)
    • No spaces or special characters (e.g., *, ( ), ., ?)
  • File Naming Consistency:
    •  Revisions must use the original filename
    • New submissions must follow sequential numbering
  • Orientation:
    • Landscape or portrait allowed for documents
    • Landscape only for drawings
  • Index Pages:
    • Required for both documents and drawings
    • Must be named according to discipline (e.g., DOC-0.pdf, A-0.pdf, C-0.pdf)
  • Submission Platform: All files must be uploaded to ProjectDox
  • Inspection Readiness: Job site copies must match original size submitted

Documents Requirements

These requirements apply to DOCUMENTS: 

  • Content: One file per subject (e.g., one application, one affidavit)
  • Multi-page Files: Allowed (e.g., PAP-01.pdf may contain 13 pages)
  • Index Naming Example:
    • DOC-0.pdf for Building, Fire, Planning & Zoning
    • PZD-0.pdf for Planning & Zoning special permits
  • Revisions: Entire document must be resubmitted using the same filename
  • Examples of Document Codes:
    • BLD- for Affidavits
    • PAP- for Permit Applications
    • NOA- for Product Approvals
    • PHO- for Photos/Renderings
    • WAV-01.pdf for Waiver under §553.792, F.S.

  • Content: One file per sheet (e.g., 10 sheets = 10 files)
  • Scale: All drawings must include scale
  • Index Naming:
    • A-0.pdf for Building, Fire, Planning & Zoning
    • C-0.pdf for Public Works – Right of Way
  • Insertions: Use alphabetic suffixes (e.g., A-1A.pdf, A-1B.pdf)
  • Multiple Buildings: Add building number to filename (e.g., A-01-3.pdf)
  • Examples of Drawing Codes:
    • A- for Architectural
    • S- for Structural
    • FP- for Fire Protection
    • L- for Landscape
    • T- for Telecommunications
